Send Project Creates an XER and Emails It; It

Send Project is File > Send Project; creates an XER and emails it; not File > Export, Job Services Export, or Check Out

This is the project tree. Send Project emails a copy. It is not File, Export.

What a planner means

Send Project is File > Send Project. Oracle File Menu: "Creates an XER export file of the open project, automatically opens your email system, and attaches the XER file to the body of the email message. The subject line of the email is automatically populated with the name of the project. This command is enabled when you open a project." Enabled when the active window is "All." Corresponding toolbar: Action Toolbar. How-to: File, Send Project.

Oracle how-to Export and email an XER project: "Open the project you want to export and email." "Choose File, Send Project." "The application creates an XER export file, automatically opens your email system, and attaches the XER file to the body of the email message. The subject line of the email is automatically populated with the name of the project." "Enter the email address and send the email."

This command is not File > Export (the Export wizard). It is not Tools > Job Services Export. See Job Services. It is not File > Check Out / Check In. See Check Out. It is not File > Send to Unifier (EPPM-database icon; Unifier Schedule sheet). It is not File > Exchange Data. It is not File > Import. It is not User Preferences Email tab (personal email settings). See User Preferences.

Oracle File > Export how-to tip: "You can also export a project to an XER file and automatically email the file to another P6 Professional user. Choose File, Send Project."

Professional command fields Oracle names

Oracle printed no Send Project dialog box and no field catalog. The command does not open a P6 options form. Quote what Oracle named:

  • Creates an XER export file of the open project — File Menu / Action Toolbar / how-to. How-to step 1 is singular: "Open the project you want to export and email." Oracle did not print a multi-project checkbox, a format picker, or a save-location field on this command.
  • Automatically opens your email system — File Menu / Action Toolbar / how-to.
  • Attaches the XER file to the body of the email message — File Menu / Action Toolbar / how-to.
  • Subject line — "automatically populated with the name of the project."
  • Enter the email address and send the email — how-to step 3. The address is typed in the mail client, not in a P6 field Oracle named.

Notes Oracle printed on that how-to (quote Oracle):

  • "If an email system is not present on your computer, the application will launch the Create a Mail Profile wizard. You can choose to create a mail profile, or click Cancel to exit. If you click Cancel, you cannot email the XER file; the file will remain in your local Temp directory."
  • "This feature applies to XER files only."

Action Toolbar: same create / open-email / attach / subject sentences; "This icon is enabled when you open a project." Menu command: File > Send Project. The Action toolbar is "not displayed" by default. "The import, export, check in, and check out icons on this toolbar display by default when you choose to show the toolbar." Oracle did not say the Send Project icon is in that default-icon list. "The icons on this toolbar do not have corresponding shortcut keys."

Hot keys: Alt-F, D = Send Project. That is the File-menu hot key. Quote both the toolbar "no corresponding shortcut keys" sentence and Alt-F, D. Do not collapse them.

File > Export is a different command. Oracle File Menu: Export "Starts the Export wizard. Use the Export wizard to export projects, resources, or roles to other Oracle applications, Microsoft Project, or Microsoft Excel. You can also export projects in UN/CEFACT, IPMDAR, and CPP format." How-to Export projects to an XER file: File, Export → Primavera PM - (XER) → version pull-down → Project → mark the Export checkbox for projects → type the name and location → Finish. That wizard can export multiple projects ("Open the projects you want to export"; "If you export multiple projects in a single XER file, the interproject relationships between activities in the projects are preserved."). Send Project does not start that wizard.

Job Services Export is a different path. File > Export tip: "When connected to a P6 Professional database: You can set up a job service to export your projects at a specified time." "You can export or import projects as a service through the command line." Those are not File > Send Project. See Job Services.

Check Out is a different command. File > Check Out starts the Check Out wizard (remote lock-and-copy). Send Project does not check the project out. See Check Out.

Send to Unifier is a different command. Oracle Action Toolbar: "This icon appears only when P6 Professional is connected to a P6 EPPM database. Sends the open project to a Primavera Unifier Schedule sheet." Menu: File > Send to Unifier. Do not treat it as Send Project. Do not treat Unifier as this object.

File > Import is the receive path, not this command. Oracle Import an XER email attachment: "In the email containing the XER project, double-click the attached XER file." "The module opens automatically (if not already open) and launches the Import wizard. The file name is automatically populated in the wizard." Then Import Action / Import To / Update Project Options / currency / Finish. That is the Import wizard, not Send Project.

User Preferences Email tab is a different dialog. Oracle: "The email tab enables you to enter your personal email settings." The Send Project how-to does not name that tab, SMTP, or Mail Login Name. Do not invent that Send Project reads those fields. See User Preferences.

Oracle printed no privilege name on the Send Project how-to or File Menu row. The Importing and Exporting Guide opening sentence is about export generally: "You must have the 'Export Project Data' project privilege to export projects." That sentence is not reprinted on Export and email an XER project. Do not invent a Send Project privilege.

EPPM — do not copy File > Send Project onto the web

Do not copy Professional File > Send Project / Action Toolbar / Alt-F, D / Create a Mail Profile wizard onto EPPM web.

Oracle EPPM About Importing and Exporting Projects names import/export file formats, export settings, import templates, and project scheduled services. That page does not print File > Send Project, Send Project, or "export and email an XER." EPPM scheduled export (XER or XML) is Administration → Scheduled Services, not this command. Professional File Menu does not say Send Project appears only on a Professional database (unlike Tools > Job Services). Do not invent that File > Send Project is hidden when Professional is connected to EPPM. File > Send to Unifier is EPPM-database only (Action Toolbar). Do not collapse those.

File > Export XER note (not reprinted on the Send Project how-to): "When connected to a P6 EPPM database: No risk data is exported when using XER format. Risk Categories are part of global data and are exported when using XER format." Quote it as an XER-format note on the Export page. The Send Project how-to does not reprint it. Do not invent that Send Project strips or keeps risk.

XER

Send Project is a command. It writes a normal project XER and attaches that file to email. It is not an XER table.

Oracle's project XER data map TOC lists no SENDPROJECT, SEND, EMAIL, or MAIL table. Do not invent one.

The attached file is the same Primavera PM XER File > Export writes (PROJECT / TASK / …). See XER Tables That Matter for a Viewer or Converter and P6 XML vs XER. Oracle: "This feature applies to XER files only." It does not email P6 XML.

PROJECT.checkout_flag / checkout_user_id / checkout_date are Check Out status, not proof the planner used Send Project. See Check Out.

A Viewer parse of one project XER cannot reconstruct whether the planner used File > Send Project, File > Export, Job Services Export, or command-line export. After it runs you may see an XER on disk or in a mailbox — that is the file, not a stored send row.

Microsoft Project

Desktop Project has File > Share → Send as Attachment. Microsoft: "Send as Attachment Opens an email message with a copy of the file in its original file format attached." Same Project list: Send as PDF; Send as XPS. Applies to Project Online Desktop Client / Project Professional / Project Standard (page fetched).

They are not the same command. P6 Send Project creates an XER of the open project and attaches that XER. Project Send as Attachment attaches a copy of the plan file (original format), or a PDF / XPS. Microsoft did not print File > Send Project, XER, or a P6 analog. Do not invent one. Do not claim MPXJ can write a real MPP.

Don't

  • Treat Send Project as File > Export, as Job Services Export, as command-line export-as-a-service, as Check Out / Check In, as File > Import, or as File > Send to Unifier / Exchange Data.
  • Invent a SENDPROJECT / SEND / EMAIL XER table, or treat checkout_flag as "the planner emailed this file."
  • Invent a format picker, a multi-project checkbox, an XML option, or a P6 recipient field on this command. Oracle named XER only, "the open project," and "Enter the email address" in the mail client.
  • Treat User Preferences Email tab as this command, or invent that Send Project reads SMTP / Mail Login Name.
  • Copy File > Send Project / Alt-F, D / Mail Profile wizard onto EPPM web, or treat EPPM Scheduled Services export as this command.
  • Collapse Send Project with Send to Unifier (EPPM-database Unifier Schedule sheet).
  • Claim a Viewer reconstructed that the planner used Send Project from an XER.
  • Map this command to MSP File > Share → Send as Attachment / Send as PDF / Send as XPS and call them the same.
  • Claim MPXJ writes a real MPP.
